time managementHow often do you find yourself complaining about having too many things to do and not enough time to do it in, or having to be in more places at the same time, and simply not having enough time?

We all spend our time doing all sorts of activities, yet we fail to realize that in fact there is so little we do achieve in the end, only because we are not concentrating on what we should, on the right things.

The Pareto Principle, also know as the “80:20 Rule”, comes to reinforce this, as it argues that little more than 80% of our unfocused effort is likely to generate only 20% of results. What remains, (80% of results) is achieved with how much effort do you think? Only 20%!



The ratio may not always be 80:20, as the rule describes it, but what matters is the pattern of a relatively small amount of activity generating non-scalar results. This recurs frequently enough to become a pattern, in many areas.

Find out how much is your time worth
If you choose to focus on results, you should first take time to think just how much your time is worth. This will ultimately help you answer your doubts on whether you are spending your time in a profitable manner for you.

Whenever you decide if it’s best to begin doing something or not, to take a task or not, you should first ask yourself if that particular project has a certain value, and if, by committing yourself to it you will be only wasting your resources and nevertheless your time.

Find out what to spend your time on
When focusing on results, it is a must that you know what exactly to shift your focus upon! We all work hard every day, often doing small jobs that will not eventually affect in any way the quality of what we do.

Doing what you enjoy

The quality of your life resides in you enjoying and feeling comfortable with what it is you are doing. If you have an idea about what things you like and don’t like, you will have what it takes to be able to shift your activities towards doing whatever you most like and enjoy.
If you love what you do, then you will not only be efficient, but you will be committing you and your time to activities you enjoy. There is no such thing as the perfect job; there are at times quite tedious aspects in everything we do, but what is important here is to do even these less pleasant that it’s up to you over time to minimize this.

Focusing on your top abilities
It is highly important to discover what your strongest points are and also the areas where you’re less efficient – in other words, discover what your talents are and learn how to improve those skills.
It is always great to know your strengths and your weaknesses, and then know how to take full advantage of the opportunities that present you, or how to deal with the possible threats that may trouble you. It is very important to find a job that best suits your strengths and skills and where your weakest points don’t matter.

Find out how you really spend your time
Have you ever thought how much time do you waste every day by focusing on unimportant activities that don’t really contribute to your success at work or your family life?
Do you actually know how much time you’ve spent reading or deleting junk mail, talking to colleagues, making coffee and eating lunch? Can you even remember how often you have thought that you could’ve achieved so much more if you just had another half hour each day.
Activity logs help you keep track of your activities so that you can better analyze how you are actually spending your time. When reading your notes for the first time you will be shocked to realize the amount of time you waste!

Memory is not the best guide when it comes to keeping track on how you’ve spent your time, because we easily forget the time spent doing nothing, reading junk mail, talking to colleagues at work, making coffee, watching TV and so on.
Besides, you may also be unaware that your energy levels may be different throughout the day, influencing you effectiveness. This may also depend on the amount of sugar in your blood, the time you have spent doing something without taking a break, stress, distractions and many other such factors.

Take time to analyze your activity log, and try to identify and eliminate whatever you consider time-wasting and unimportant. You will also learn to identify the times of day when you are most efficient and energetic, so you can complete the most important assignments during these times.

‘To Do Lists’ – prioritize your tasks
‘To Do’ List is a list that helps us keep track of the tasks that need to be carried out. It puts together all the things that must be one throughout the day. You can then prioritize these tasks into order of importance.
‘To Do’ lists are simple, yet very powerful, as a way of both organizing your time and reducing the stress. At times, problems may seem overwhelming or we may apparently have a large number of demands on your time. All these have a negative impact on our ability to control and organize our work, often overburdening us.

Personal goal setting – live your life your way
Setting goals and targets will help you decide want to achieve and then gradually move towards the achievement of these goals. You will be able to identify al the things that may distract you from concentrating on your goals.
All successful people – athletes, politicians, and business people– have used this powerful technique of setting goals. It gives you long-term picture and short-term motivation for what you have to do. Effective goal setting focuses your acquisition of knowledge and helps you to organize your resources.

Why you’ll never be able to “find” time

We need to manage our time, because we never have enough time to do everything we want and need to do. Especially, we never seem to find time for what is really important and urgent. Stop looking, because you’ll never find the “right time”. You are living it. All you have to do is re-focus your attention and energy towards the things that really matter.
You have to make time by taking it away from one activity and giving it to another. Everyday, if possible, you should make list of the tasks you want to achieve and work through those tasks until they are completed. Each time we complete a task we are actually boosting our self-esteems and promoting motivation.
Time management is not as difficult as some many believe. On the contrary, time management means understanding the value of time, setting goals and working hard to achieve these goals.

    Tell me, do you feel that ‘to do’ lists are sometimes used instead of actually doing the things you need to do. By this I mean, do some people write a list of things to be done as a substitute for actually doing them.
